Dear CEBC delegate,
As you may recall, earlier this year Member Organisations were requested to submit a signed proxy to establish CEBC as an international non-profit organisation in Belgium. This is a legal pre-requisite in order to establish such an organisation. Since only a small number of proxies were received, that process has now been put on hold by our Notary in Belgium.
The Notary has now proposed two alternative methods by which organisations can continue as members of CEBC when it is relocated to Brussels.
Option 1: Become a founding member of CEBC in Belgium by submitting a signed Proxy.
CEBC members should send a signed proxy before Monday, September 5, 2022. The proxy must be signed and dated August/September 2022. The person signing the document must also submit photographic proof of identity (ID card), for example, a copy of their passport or national identity card. With this option, you will become one of the founding members of CEBC in Belgium. (Please see the attached proxy and send it to <mailto:

If you have already submitted the proxy AND the photographic proof of identity (ID card), there is no need for further actions.
Option 2: Become a member of CEBC in Belgium by submitting a letter of interest.
If you would prefer to avoid the proxy procedure, an organisation may send a letter expressing their interest in joining CEBC in Belgium. For consideration at the autumn meeting, such letters of interest must be received before Monday, September 5, 2022. (Please see the attached letter of interest and send it to <mailto:

In addition to that, some further details:
* the Statutes (EN and FR) were endorsed during the last Riga meeting.
* For the establishment of the organisation in Belgium, it will be necessary to elect the Policy Committee members (Officers: President, Vice-President, Treasurer, Secretary General and up to 5 members for the Policy Committee).
* Current Policy Committee members will stand for their positions. If you would like to present your candidacy, please send your letter of interest before Monday, September 5, 2022 to <mailto:

We do not want to lose any members due to this administrative procedure. Please select the most convenient option for your organisation either being a founding member (option 1) or reapply for membership according CEBC Statutes (option 2.)
The above has been confirmed by the Policy Committee and we are looking forward to finalising this process during our next business meeting in Madrid (9th to 11th October 2022.)
